Business & Sales Administrator

Salary: £29-34,000 per annum (depending on experience).
Location: Remote, Bournemouth / South West based

We are seeking a proactive, organised, and tech-savvy administrator to support the smooth running of our growing business. This full-time role provides structured support across sales, marketing, and internal operations; helping maintain accurate information, coordinate workflows, and ensure teams have what they need to operate efficiently.

KaarbonTech is a leading data and software company specialising in managing highway and infrastructure assets for local authorities across the UK. Our innovative SMART technology, combined with efficient and collaborative working practices, enables us to significantly enhance our customers’ operational efficiency. We currently work with over 40% of local authorities in England, helping them automate asset inspection, maintenance planning, and risk-based decision-making.

The successful candidate will enjoy structured tasks, be comfortable learning new systems, and take pride in keeping things organised and accurate. You’ll play an important role in supporting our sales and marketing activity, maintaining CRM systems, preparing materials, and helping coordinate company and sector events. This is a consistent, process-led role suited to someone who values organisation, clarity, and dependable administrative responsibility.

While the role is remote-based, we are ideally looking for someone located in or near Bournemouth / the South West, as occasional in-person support may be required for event preparation and logistics.

 

Key Responsibilities

  • Support the sales teams by preparing information packs, collating background details, and ensuring key documents and materials are accessible and up to date.

  • Maintain and update CRM and internal systems to ensure customer records, activity logs, and reporting data remain accurate and well organised.

  • Assist with preparing, formatting and standardising presentations, documents and internal materials used across the business.

  • Support the coordination of company-run events and external sector events, including administrative preparation, booking coordination and materials management.

  • Help manage structured workflows such as logging actions, tracking updates, and supporting follow-ups to ensure tasks remain on schedule.

  • Maintain organised registers and reporting outputs that support sales performance, customer engagement and operational visibility.

  • Provide general administrative support across the business, adapting to evolving priorities as the company continues to grow.

  • Provide support to defined outreach activity, including assisting with sales outreach and basic follow-up tasks as directed by the sales team.

  • Support sales and commercial administration processes, including assisting with invoice preparation in Xero, purchase order tracking, CRM-finance alignment, and light credit control support such as monitoring overdue invoices and flagging discrepancies.


Skills and Qualities

  • Highly organised with strong attention to detail.

  • Tech-savvy and confident using Microsoft 365 (Excel, Teams, Outlook & PowerPoint) and CRM systems.

  • Comfortable maintaining structured, repeatable administrative processes.

  • Clear communicator who is confident asking questions and clarifying information.

  • Strong time management and prioritisation skills.

  • Self-motivated, reliable, and consistent in completing routine tasks.

  • Adaptable and supportive, with a positive approach to helping multiple teams.

  • Comfortable working with commercial documentation and finance systems, with confidence handling structured invoice and purchase order processes.

 

Desirable Experience

  • Previous experience in an administrative, sales support, or business support role.

  • Experience maintaining CRM systems or structured databases.

  • Previous experience working for, or alongside, local authority, local government or public sector organisations.

  • Experience supporting managers or multiple teams in a fast-moving environment.
